A production calendar template that ensures nothing ships late, ever.
Every production timeline starts at the delivery date and works backward. The organizations that never have late shirts build their calendar this way.
Template (working backward from event/delivery date): Event day (Day 0) → Delivery day (Day -2 minimum buffer) → Ship date (Day -4 for ground shipping) → Production complete (Day -5) → Production start (Day -7 for standard orders) → Art approval (Day -9) → Art submission (Day -12) → Design brief sent (Day -16).
This gives you 16 calendar days from brief to delivery for standard orders. For rush orders, compress the production window with a fee, but don't compress the art review window. Art problems can't be rushed.
Build a master apparel calendar at the start of each quarter: list every event, conference, or program milestone that requires apparel. Populate the timeline backward from each. You'll immediately see which months are overloaded and can plan accordingly.
The recurring programs (quarterly staff shirts, annual event tees) go on this calendar first. The one-time projects fill in around them.
Ready to print? No minimums. Same day to three days.
